What we build

Built to answerwhile you work.

AI email response systems

Automatically draft professional, business-specific replies as soon as an enquiry reaches your inbox.

The system reads each incoming email and uses a knowledge base containing your business information, services, pricing, policies and frequently asked questions to generate an appropriate response. The draft is ready for your team to review and send, rather than starting from scratch each time.

In practice, this can cut the time spent preparing an email response from around 5–10 minutes to just 1–2 minutes - saving your team time while helping enquiries receive a faster response.

AI receptionist systems

An AI receptionist that answers calls, handles customer enquiries and manages appointments — without the cost of a full-time hire.

Built around your business, it can answer questions about your services, pricing, availability and policies, while also booking appointments directly into your calendar. Customers can also use it to reschedule or cancel appointments, leave a message for your team, or request a callback without needing to speak to a member of staff.

Available around the clock, your AI receptionist ensures calls and enquiries are handled even when your team is busy, unavailable or outside working hours.

Where automation helps

Sound familiar?There is a fix.

Real problems we hear from business owners every week, and where automation can take some of the pressure off.

The problem

Missed calls while you’re on a job

The fix

An AI receptionist answers the call, takes the customer’s details, handles common questions, and sends you a clear summary - so the enquiry is captured instead of lost to a competitor.

The problem

An inbox full of the same questions

The fix

An AI email system that drafts accurate replies to routine enquiries instantly, while flagging anything that needs your personal attention.

The problem

Appointments lost to no-shows

The fix

Automated confirmations and reminders reach customers before every booking, so fewer slots go to waste and your diary stays full.

AI Efficiency Audit

Find out wherethe time goes.

Our AI Efficiency Audit looks at how your business handles enquiries, admin and customer communication, then points out where time is being lost and what could be improved.

  1. Process audit

We review how your business currently handles enquiries, admin, bookings and customer communication.

  2. Identify bottlenecks

We find the repetitive tasks, missed opportunities and manual processes slowing the business down.

  3. Recommend systems

We provide clear recommendations for where AI and automation can save time and improve efficiency.

  4. Implementation plan

We outline which systems would be most useful, how they would work and what would be required to integrate them.

  5. Build and test

If you choose to move forward, we build and test the agreed systems using real business workflows.

  6. Launch & handover

Once everything has been tested and approved, we launch the system and make sure your team knows how to use it.

Questions

AI automation,answered.

Straight answers to the questions business owners ask us most.

What kind of businesses is automation right for?

Automation can benefit any business that spends significant time on repetitive admin, customer enquiries, bookings or follow-ups.

This can include trades, service businesses, retail and professional practices. If your team regularly spends time answering the same questions, managing appointments, processing enquiries or carrying out repetitive administrative tasks, there may be an opportunity to automate it.

We can review how your business currently operates and identify where automation could save time, reduce manual work and improve the customer experience.

How much does an AI email response system cost?

Our AI email response systems start at £2,000, including the design, development, business knowledge base and integration with your existing email workflow.

The exact price depends on the complexity of your requirements and the systems the AI needs to connect with. We will discuss what you need before providing a fixed price.

Are there ongoing costs for an AI email response system?

No. Once the system has been built and implemented, there are no ongoing usage costs for processing emails.

However, your business information may change over time. If you change your services, pricing, policies or other information stored in the knowledge base, the system may need to be updated so it continues drafting accurate responses to customer enquiries.

See our care plans on the prices page for the different options available for ongoing updates and maintenance.

How much does an AI receptionist cost?

Our AI receptionist systems start at £3,000, including the design, development, business knowledge base, phone integration and appointment management setup.

Because every receptionist is built around the specific requirements of your business, the final price depends on the systems it needs to connect with and the tasks it needs to handle. We will discuss your requirements before providing a fixed price.

Are there ongoing costs for an AI receptionist?

Yes. AI receptionists have a small usage cost when they are actively handling calls and tasks such as booking appointments. The current price is around 8p per minute of activity, although this may be slightly lower or higher depending on the specific requirements of your system.

For context, two hours of AI activity would cost approximately £9.60 in usage. There is no salary, holiday pay or minimum number of hours - you simply pay for the time the AI is actually working. By comparison, the current UK National Living Wage is £12.71 per hour for workers aged 21 and over.

Your business information may also change over time. New services, pricing, policies, opening hours or booking processes may require updates to the system and its knowledge base so that your AI receptionist continues providing accurate information.

See our care plans on the prices page for the different options available for ongoing updates, maintenance and improvements.

How long does it take to set up an AI system?

Most AI systems take around 2 to 3 weeks to build and implement, depending on the complexity of the system and the integrations required.

This includes configuring the system around your business, building the necessary automations and integrations, testing everything thoroughly and making sure it is ready to use.

More complex systems may take longer, particularly where multiple software platforms or more advanced workflows are involved.

Does the AI Efficiency Audit cost anything?

No, the AI Efficiency Audit is free.

Do I have to commit to building anything after an AI Efficiency Audit?

No. The audit stands on its own. You get a clear picture of where time is being lost and practical recommendations for fixing it. If you choose to move forward, we build and test the agreed systems. If not, the findings are still yours to keep.

Will AI responses sound robotic to my customers?

No. Each AI system is tailored to match the tone and style of your business, whether you want it to sound warm, professional, friendly or straightforward.

For voice-based systems, you can also choose how the AI sounds, including its voice style, accent and gender.

The AI is built around a detailed knowledge base covering your business, services, pricing, policies and the questions your customers are most likely to ask. This allows it to give fast, accurate and natural responses based on your business - rather than generic, scripted answers.

What happens when the AI can’t answer something?

We build each AI system with a detailed knowledge base and a comprehensive library of customer questions, so this should be rare.

However, if the AI is unsure or cannot give a reliable answer, it will not guess. The conversation can be flagged and passed to the business owner, along with the customer’s details where appropriate.

This also helps us identify gaps in the system and improve the AI over time, so it becomes more accurate and useful as real customer enquiries come in.

Will this replace staff, or work alongside them?

It depends on the role. For staff whose main responsibility is answering calls and responding to emails, such as general administrative roles, automation can reduce the need for that position. For most other roles, it works alongside your team rather than replacing them.

Do I need to be technical to use these systems?

Not at all. We design, build and set everything up around the way you already work, and we make sure you’re comfortable with it before launch.
